Information you provide
Details shared through the contact form, price estimator, live chat, WhatsApp, or booking requests.
When you submit the contact form, you provide your name, a description of the issue, and at least an email address or phone number. Service type, urgency, customer type, technical details and a supported attachment are optional. This information is used to reply and help scope the support you need.
Booking requests contain the contact and appointment details you choose to provide and may include optional screenshots or supporting files. Do not upload passwords, recovery keys, private keys or highly sensitive personal information.
The booking form accepts up to three JPG, PNG, WebP, HEIC/HEIF, PDF or plain text files: no more than 8 MB each or 15 MB in total.
A contact-form attachment is sent with the administrator notification through the configured mail service. Booking attachments are instead kept in protected website storage, are not attached to notification emails and can be downloaded only through the authenticated booking administration route.
The forms also process limited technical information, such as timestamps, request headers and IP addresses, to prevent abuse and diagnose delivery failures.
The price estimator works out its figures in your browser; nothing is sent until you choose to submit, at which point your name, contact details, any notes you add and the estimate itself are delivered to WITS and handled like any other enquiry.
The live chat runs on WITS’s own Command Centre system on WITS-controlled infrastructure; messages are not passed to a third-party chat provider. Messages you type, the page you are viewing and basic technical details (browser description and network address) are processed to answer you and to let Harrison see which page a visitor is on during a conversation. Chat records are kept only as long as needed for support and necessary business records.
Messages sent through WhatsApp are processed by WhatsApp after you choose that external link and are used to provide support or answer questions.
Analytics and website tools
Tools that help keep the site running smoothly.
If you accept analytics and advertising measurement, Google Tag Manager, Google Analytics, Google Ads conversion measurement and Microsoft Clarity are loaded to help understand how pages are used and whether advertising led to a genuine enquiry. If you decline or do not answer, Google Tag Manager still loads but every storage type stays denied: no analytics or advertising cookie is set, no identifier is stored on your device, and Google receives only an anonymous signal that a page was viewed. Microsoft Clarity is not loaded at all unless you accept.
Separately, and whether or not you accept, this site keeps its own basic record of which pages were viewed, roughly how long was spent on them, and whether a link such as the telephone number was tapped. That record sets no cookie and contains no name, email address, telephone number or anything you type. To connect an advertising click to an enquiry made in the same browsing session, a short note of the click reference and landing page is kept in your browser’s session storage and disappears when the tab is closed; nothing else is stored on your device by this record. Visits are grouped using a key worked out on our own server from your network address and browser description combined with a secret that changes every day, so the grouping cannot follow you beyond twenty-four hours. Network addresses are shortened before they are written down, the record is kept for at most ninety days, and it is used only to understand how the site is being used. The lawful basis is our legitimate interest in running and improving the site. If your browser sends a Global Privacy Control signal, no record is kept at all.
You can accept or decline analytics using the banner at the bottom of the page. The Cookie information link in the footer reopens the consent options.
If you accept analytics and advertising measurement and then send an enquiry or booking request, the email address and telephone number you gave are turned on this website into a one-way scrambled code (SHA-256) and sent to Google Ads with that enquiry, so Google can tell whether it followed a click on a WITS advert. The code cannot be turned back into your details by WITS, and nothing is sent if you decline.
If you accept, the LinkedIn Insight Tag is also loaded. LinkedIn uses it to report which companies and job roles visit this website, to count enquiries that follow a LinkedIn advert, and to show WITS adverts on LinkedIn to people who have visited.
If you choose a language other than English from the Language menu, the page is translated by Google Translate: the text of the page you are viewing is sent to Google to be translated, and a preference cookie named googtrans remembers your choice. Nothing is sent for translation unless you choose a language. In other languages WITS replies by chat or email, using a translation tool where needed, rather than by phone.
Attended remote support sessions
What happens when you let WITS connect to your computer for a one-off session.
For an arranged one-off session, WITS connects using a tool that you start and can close at any time: Windows Quick Assist, which is built into Windows and provided by Microsoft, or AnyDesk, provided by AnyDesk Software GmbH. You share a one-time code or accept the connection on your own screen, you see the session throughout, and it ends when you or WITS disconnect. These tools are used only to carry out the support you asked for, and nothing is left installed on your computer after an attended session.
Managed device services
What an authorised persistent support agent may report when a customer chooses monitoring or patching.
The managed-device service is separate from the attended remote support sessions described above. With the customer’s authority, the WITS managed agent (Tactical RMM) remains installed on agreed devices so WITS can provide the selected monitoring, patching and support service. Tactical RMM is self-hosted on WITS’s own server in the United Kingdom, so managed-device information stays within WITS’s own systems rather than a third-party service.
Depending on the agreed tool and settings, the service may process:
- device name or identifier, operating system, and general hardware and software inventory;
- check-in, health, security, update and patch status, plus configured technical alerts; and
- administrative and audit records needed to secure and operate the service.
This information is used to deliver the agreed service, diagnose technical issues, plan supported updates, protect the management service and keep necessary service records. The service is not offered for employee-productivity monitoring. WITS does not intentionally inspect personal files or message content as part of routine monitoring; any separately authorised support task that requires access is explained and limited to the agreed purpose.
Before an agent is installed, the service schedule will identify the selected product and provider, the data and functions enabled, relevant hosting or international-transfer information, retention and access controls, remote-control or file-access rules, patch and restart arrangements, and the removal route when the service ends. A business customer remains responsible for having authority to enrol each device and for giving its staff or other users any privacy information required for its use of the service.
WITS may act as a controller for its own customer and service records, and as a processor when it handles device information on an organisation customer’s documented instructions. The applicable roles and data-protection terms are confirmed before the service starts. See managed device and ESET options.
Sharing and retention
Limited sharing is needed to operate the website and deliver support.
Your information is not sold. It may be processed by providers used for hosting, form delivery, Microsoft 365 email and calendar functions, optional analytics, the remote-support tools named above during a session you arrange, WhatsApp when you choose it, and specialist partners when you ask WITS to arrange or refer that work.
Enquiry and booking information, including any supporting files, is kept only as long as needed to respond, deliver support, prevent abuse, and maintain necessary business records.
Booking attachments follow the booking record's access, backup and deletion process. You can ask about the retention or deletion of a particular record or file using the contact details below. Legal, accounting or security requirements may sometimes require a record to be retained for longer.
